Tour Development Coordinator | Full-Time

DayTripper Tours is a motor coach tour company specializing in one-day and multiple-day tours to Los Angeles, Mexico, the Southwest and beyond. We offer a casual office environment where creativity is encouraged and rewarded. The company is seeking a full-time person to work in the El Cajon, CA office location.

The TOUR DEVELOPMENT COORDINATOR is responsible for the contracting and coordination of various elements of tour development, including tour research, costing, planning and setup of new tours and events. The Tour Development Coordinator contracts for outside supplier services for tour packages; creates and coordinates computerized records in a centralized database; creates and updates itineraries; tracks and/or manages vendor deposits, payment and cancellation deadlines, hotel rooming lists and other contractual obligations and deadlines. Other duties include preparing tour departure documents and assisting the Product Development Manager and Operations Manager in other tasks as needed, as well as occasionally answering incoming customer calls and taking their reservations when needed. This position is extremely detail-oriented and requires a substantial amount of data entry, contracting, and telephone contact with service providers. Experience in the Tour and Travel or Meeting and Event Planning industries preferred.

  • Must possess excellent PC skills and be proficient with Microsoft Windows, Microsoft Office including Word, Outlook and Excel; Google Maps

Essential duties and responsibilities include, but are not limited to, the following. Other duties may be assigned as needed.

  • Assists in managing the Tour & Event Planning Calendar
  • Coordinates and assists Product Development Manager in all aspects of tour development and operations including destination research, tour design and development, costing, planning, record keeping; develops and updates tour itineraries, schedules hotels, restaurants, attractions, motor carriers and other vendor services
  • Coordinates vendor services associated with tours and other events; assists in facilitating Accounts Payables, Accounts Receivables and tasks related to vendor services and in accordance with the vendor contracts
  • Monitors tour reports and customer surveys, and updates tour itineraries as needed to accommodate changing conditions and to improve the product and/or the customer experience as necessary
  • Assists Product Development Manager in implementing new procedures, forms and systems that support and streamline the efficiency and workflow of the Creative Department
  • Formulates and/or adheres to company procedures for systematic retention, protection, retrieval, transfer and disposal of departmental records
  • Conducts vendor site inspections when required
  • Periodically accompanies tours in order to evaluate and analyze operations and to ensure the company’s quality standards are maintained
  • Maintains communications and coordinates responsibilities as needed between the Creative, Operations, and Reservations Departments in a manner that supports the company’s goals and objectives.
  • Assists with on-site tour operations when needed

Reports to Product Development Manager

8:30AM to 5:00PM, Monday-Friday.
